The Media Coordinator will work closely with the media team on tasks such as obtaining and analyzing media (both digital and traditional), using media software to place orders and track performance, managing media billing and reconciliation and executing various administrative duties.

Accountabilities:

  • Assist with managing digital assets, tagging, and tracking through REGROUP systems for optimal ad operations and campaign performance.
  • Ensure accurate and timely reporting and reconciliation of paid media invoices.
  • Ensure timely data collection of digital campaign performance and assist with auditing reporting dashboards for accuracy.
  • Serve as a liaison between the Media and Finance departments, ensuring smooth communication and workflow.
  • Support arm for all media department members

TASKS:

  • Upload and QA creative implementations in ad server software; verify and adjust measurement configurations.
  • Handle creative messaging swaps and implement necessary measurement instruments, such as conversion pixels and tags.
  • Review and ensure accuracy of reporting dashboards
  • Provide creative assets and tags to external vendors as required.
  • Reconcile monthly Media Department credit card statements.
  • Handle the majority of all media billing and invoice reconciliation with assistance from other media team members.
  • Contact vendors for missing invoices and resolve discrepancies.
  • Manage an outstanding media invoice report and ensure all billing processes are followed.
  • Enter media schedules and invoices into media management software.
  • Undertake ad hoc projects as necessary.

PERFORMANCE METRICS:

  • Ensure media invoices are processed and reconciled within 10 business days of receipt, including monthly Media Department credit card statements.
  • Submit reconciled monthly Media Department credit card statements within five business days.
  • Secure collection of all media invoices within 30 days of run date.
  • Ensures all tasks are completed on time, accurately, and with excellence.
  • Foster strong collaboration within the media team and across the organization.

Qualifications:

  • 1 to 3 years of media experience in an agency preferred.
  • Basic understanding of traditional media (TV, radio, print, OOH).
  • Knowledge of digital marketing channels such as SEM (Google Ads) and social media platforms (Meta, Instagram, X, LinkedIn, TikTok, Snapchat, and YouTube).
  • Familiarity with ad server platforms such as Flashtalking is a plus.

This position has the ability to work 85% of the time remotely. However, it is a job requirement to be physically in the office 15% of the time for scheduled client and internal meetings; therefore, any travel costs incurred to be physically present will be the sole responsibility of the team member to be onsite at 213 West Liberty, Ann Arbor MI 48104, or the surrounding area.
